Conference for Undergraduate Women and Non-Binary Physicists UK and Ireland (CUWiP+) host application

Apply to host future instalments of the conference.

The deadline for submissions is 23.59 19 July 2024.


To apply, please fill out the webform as completely as possible to apply to host the Conference for Undergraduate Women and Non-Binary Physicists UK and Ireland (CUWiP+).

Additionally, a single PDF document is requested to be sent to [email protected] to complete this application.

This PDF should contain three sections: Budget, Proposal, and Letter of Support. These are outlined on this page.

We are now inviting applications for 2026 and beyond.

We will notify those applying to host the 2026 conference by the end of August 2024. Those applying for 2027 and beyond will be notified by the end of November 2024.

Applications should be submitted by 23.59 on Friday 19 July 2024.

Budget

This section should include a tentative budget, including expenses and expected resources.

State explicitly the estimated number of local participants and out-of-area participants you plan to host. Typically, the host site can accommodate at least 100 undergraduate attendees.

Include estimates of all local anticipated expenses: food, accommodation, room charges, local transportation, expenses for speakers, panelists and workshop presenters, tours, etc.

Provide an estimate of the financial support you expect to be able to raise locally (for example, anticipated commitments from your institution and donations from local sponsors).

Local host commitments for past conferences typically start from £15,000 upwards.

Proposal

Please address the following aspects of your proposal to host CUWiP+:

  • your plan to recruit applicants;
  • a tentative conference programme;
  • available facilities for your conference (state the capacity of your facilities – the maximum number of student participants you can accommodate, rather than your target number);
  • participation in previous conferences (if any) by members of the organising committee;
  • whether your site is interested in hosting a conference in 2026, or in subsequent years, or either; and
  • a statement of commitment from members of the local organising committee including a discussion of workload distribution among students, faculty, and staff.

Letter of Support

Please include a letter from your department chair that outlines the departmental support (financial and staff) as well as the names of any other faculty members engaged in the organisation of the conference.

Which year would you like to host the conference? Please select at least one. You will have the option to state your preferred year.
Successful hosts might be offered a year which is not their first choice for hosting CUWiP+ but this will be based on a number of factors including location to ensure CUWiP+ is hosted across the regions of the UK and Ireland.

Members of the local organising committee (LOC)

If other members of the committee have been identified, please list up to three and give the complete list in the Proposal section of your PDF.

If other organisational partners have been identified (for example, a nearby national laboratory, another educational institution, or industrial partners), please list them and describe their role in the Proposal section of your PDF.
